Who We Are

GenCounselling is the private practice of Geneve Hendry, ACCPH accredited and FHT registered, based in Whiteley, Hampshire. We provide online holistic counselling and emotional wellbeing support across the UK.

If you have any questions about this policy, you can contact us at help@gencounselling.co.uk.

What Information We Collect

We may collect the following personal information:

  • Contact details — your name and email address when you submit an enquiry, sign up for a resource (such as the Grounding Toolkit), or make a booking.
  • Session information — details discussed during counselling sessions, which are kept strictly confidential in accordance with our professional code of ethics.
  • Technical data — basic analytics about how you use this website (such as pages visited), which may be collected by third-party tools. This data does not identify you personally.

How We Use Your Information

We use your personal information only to:

  • Respond to your enquiries and provide the counselling services you have requested
  • Send you resources you have signed up for (such as the free Grounding Toolkit)
  • Send occasional service-related updates where you have given consent
  • Meet our legal and professional obligations as an accredited practitioner

We will never sell, share or pass your personal data to third parties for marketing purposes.

Legal Basis for Processing

We process your data on the following legal bases under UK GDPR:

  • Contract — to provide the counselling services you have requested
  • Legitimate interests — to respond to enquiries and manage our practice
  • Consent — for any marketing communications (you can withdraw consent at any time)
  • Legal obligation — where we are required to retain records by our professional body

How Long We Keep Your Data

We retain client records for seven years following the end of counselling, in line with ACCPH guidelines. Enquiry data where no counselling relationship was formed is deleted after six months. You may request deletion of your data at any time (subject to our legal retention obligations).

Confidentiality and Exceptions

Everything discussed in sessions is treated as strictly confidential. There are limited exceptions where we may be required to share information without your consent:

  • Where there is a serious and immediate risk to your life or the life of another person
  • Where disclosure is required by law (for example, in relation to terrorism or money laundering)
  • Where information is shared in clinical supervision — supervisors are also bound by confidentiality

We will always try to discuss any need to break confidentiality with you first, unless doing so would increase the risk of harm.

Your Rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request erasure of your data (subject to legal retention obligations)
  • Object to or restrict our processing of your data
  • Withdraw consent at any time where processing is based on consent

To exercise any of these rights, please contact us at help@gencounselling.co.uk. We will respond within one month.

If you are unhappy with how we handle your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

Data Security

We take reasonable steps to protect your personal information. Online sessions are conducted via secure, encrypted video platforms. Electronic records are password protected. We regularly review our security practices.

Third-Party Services

We use the following third-party services which may process your data:

  • Practice Better — for appointment booking and session management. Their privacy policy can be found at practicebetter.io.
  • Google Workspace — for email communication (help@gencounselling.co.uk).

Each of these services has their own privacy policy and is responsible for their own data handling.

Cookies

This website uses only essential cookies required for basic functionality. We do not use tracking or advertising cookies. No cookie consent is required beyond essential site operation.

Changes to This Policy

We may update this policy from time to time. Any changes will be posted on this page with an updated date. Continued use of this website after changes constitutes acceptance of the updated policy.
